Plan your week

Fit tasks onto real days against the hours you have, and see which days are over before they start.

Plan shows your week as days side by side, each measured against the hours you can work that weekday. Drag a task onto a day and you see whether it fits before you commit to it.

Where do the hours come from?

From Settings › Preferences › Weekday capacity: the focused hours you can give each day of the week. It starts at 4h Monday to Friday and 0 on weekends.

If you connected Google Calendar or Outlook (read-only) in Settings › Integrations › Calendars, the timed meetings it imported take their length out of that day. All-day events, declined meetings and time marked free don't count.

How do I put a task on a day?

Click Plan the week, or press P, to open the work pool beside the board. Drag a card onto a day. The day under the pointer shows its free time, or how far over it would go.

Drag a card back to the pool to take it off its day. Every drop can be undone.

Without a mouse, press D on a task to move it to a day.

What does the bar on each day mean?

It's the day's work against its hours: the estimates of everything planned that day, plus meetings, against that weekday's capacity. While you drag, the day under the pointer reads free, full or over.

A task with no estimate adds nothing to the bar, and the bar's tooltip counts it as untimed. Type an estimate like 45m when you capture a task and the week tells the truth.

Where do unfinished tasks go?

When you open the pool from Plan, tasks that slipped from earlier days lead it under Slipped, so the week starts with what didn't get done. In the current week, days already past fold into narrow columns that count what was done and what slipped.

Can I see the whole month?

Switch from Week to Month. Each day shows its planned hours against its capacity, and +N more when it holds more tasks than fit. Click a date to plan that day.

In Month, ← and → move by a day, and ↑ and ↓ by a week.

Where do milestones show?

A milestone's date shows as a flag on its day, so you can see what each week is building toward. See Reach a milestone.
