Know whether each client’s deadline still fits

Add each client’s deliverable as a milestone with its date, estimate the work, and tell tidystation how many focused hours you can work each day. It weighs the work left against those hours, across all your clients, and says on track, behind or won’t fit.

How to reach a milestone

Can I run my client projects in tidystation?

Yes. Each client gets a project with its own tasks and notes, and each deliverable gets a milestone with a date. Write call notes or a fix list in the project’s notes, then type /task on a line and choose Make task to add the line as a task in that client’s project.

It’s built for 1 person planning their own time. There are no Gantt charts, client portal, invoicing or team seats.

How do I know a client’s deadline still fits?

tidystation weighs the work left on each milestone against the hours you can work before its date and gives it one word: on track, behind or won’t fit. Give each task an estimate when you capture it, like 45m. A task without one counts as no work, in a milestone or on a day.

Every client draws on the same hours. Say a deliverable has 14h of work left and 5 working days to go, and you have 4 focused hours a day: 20h are free, so it fits. Spread 8h of another client’s work over those days and 12h are free, so it says behind.

When a milestone says behind, the fix is yours to choose: plan more of its work before the date, cut tasks or move the date. See how milestones work.

Do I have room for more work this week?

Plan shows the week as days side by side, each measured against the hours you can work that weekday. Drag a task onto a day and the day shows its free time, or how far over it would go.

Connect Google Calendar or Outlook (read-only) and its timed meetings take their length out of each day. tidystation imports them once, when you connect. See how to plan your week.

What do I do with a request that arrives mid-week?

Press Q and type it with the client’s project and an estimate, like update the menu PDF 30m #fernhill-bakery. With no day on it, the task waits in Triage, which shows 1 open task at a time.

The task’s card shows the project, the estimate and, if the task is on a milestone, that milestone’s pace and days left. Press 1 to do it now, 2 to schedule it for a real day, 3 to delegate it or 4 to drop it.

Delegating names who has the task and the day to check back, whether that’s a subcontractor or the client whose reply you’re waiting on. The task returns to Triage that day.

How do I time my work and see where the week went?

Press play on a task and pick Pomodoros (25 minutes of work, then a 5-minute break) or a timebox (one block for the whole estimate). tidystation gives the screen to that task and logs the minutes to it. See how focus mode works.

Report adds up the tasks you finished and the minutes you focused by category, for a day, week, month or year. A task has at most 1 category, so choose what Report totals: the kinds of work, like Design, Development and Admin, or your clients.

Can I add tasks from a client’s email with Claude or ChatGPT?

Yes. Connect Claude or ChatGPT to tidystation, paste the email or your call notes into the chat and say what to add. Your assistant reads the text; tidystation runs no AI and has no access to your inbox.

Add these 3 changes to Fernhill Bakery, 30 minutes each, planned for Friday.
Save this summary as a note in Fernhill Bakery.

tidystation tells your assistant to use only the dates and estimates you state, and to leave ranking your tasks and picking a day to you. Connectors depend on your assistant’s plan and workspace settings; see what your assistant can do.

What does it cost?

$7 a month or $60 a year, with 14 days free.

Questions

Can I bill clients from tidystation?

No. tidystation can’t invoice a client, and it has no hourly rates or timesheets. Its Report shows the tasks you finished and the minutes you focused, by category, and shares them as an image, with no data export.

Can I see how long each client took?

Only if each client is a category. tidystation’s Report splits finished tasks and focused minutes by category and has no per-project view. You can have up to 20 categories, and a task takes at most 1.

Can a client or a subcontractor use it with me?

No. tidystation is built for 1 person planning their own time, with no shared workspaces, seats or client access. A delegated task carries a name and a day to check back; that person never signs in.

Does it work on my phone?

tidystation runs in the browser on a laptop or desktop. There is no phone app.
